Vendor Terms & Conditions

​

By selecting "I agree" in the dedicated form and by using our services, I confirm my understanding and acceptance of the following terms and conditions:

  1. Vendor Fees and Attendance:

    • I acknowledge that vendor fees are non-refundable.

    • I understand that I will only apply for the dates that I can/will attend.

    • In the event of my inability to attend, I commit to informing the event coordinator and forfeiting my fees. 

    • Credits & refunds are only applicable if the organizer cancels or postpones the event.
       

  2. Market Setup and Operation:

    • If accepted, I will ensure my booth is fully set up and prepared for customers at the opening of the market.

    • The event coordinator is responsible for creating the floor plan, and special requests will be accommodated when possible.
       

  3. Marketing and Promotion:

    • I agree that active support in marketing and promotional efforts is vital for the market's success.

    • If accepted, I will promote the market on my social media platforms and extend invitations to friends, family, and followers.
       

  4. Market Hours:

    • I understand that market hours are pre-set, and my commitment involves attending and remaining for the entire duration. If I cannot commit to the entire time, I will inform the event coordinator who will decide on a case by case basis if my request can be accomodated. Early takedown can be authorized but must be pre-planned and authorized by writing. 

    • Timely arrival, having my table prepared for customers at the start, and adherence to the limited takedown time are expected. 
       

  5. Food Vendor forbidden:

    • I acknowledge fresh food vendors are not permitted.
      ​

  6. Payment and Waitlist:

    • After filling out an application, if accepted, an invoice will be sent. Invoices are to be paid within 24h. Failure to pay the market fee by the indicated deadline will result in the consideration of other applicants.

    • My spot is guaranteed only upon completing the payment within the specified timeframe.
       

  7. Media Usage Authorization:

    • I grant Backyard Marketplace Ltd (operating: The marketplace Kitsilano) the right to use my social media posts and any photos of my products or services for promotional purposes related to the event.


      Vendor Referral program


      Vendors can refer other vendors to us. If the vendors referred book with us, the referring vendor earns a 10% discount on future booth purchases. There is no limit on the amount of referrals that can be done, however, the 10% discount is only limited to 1 per day. For example, if you refer 5 vendors who book a booth with us, you earn 5 vouchers for a 10% discount that can be used for 5 future bookings. 

      Conditions: 
      - The vendor you refer must enter your name in their application form and pay their invoice within 48h of receiving it

    • - The 10% discount can only be used by the referring vendor and is not transferrable
      - There is no limit on the amount of vendors that can be referred but the 10% discount is only 1 per day. If you have 10 vouchers for 10% you can use them for 10 day bookings, even if they are paid in one invoice. 
       

Food Truck

  1. Food Truck Fees and Attendance:

    • I acknowledge that food truck fees are non-refundable.

    • I understand that I will only apply for the dates that I can/will attend.

    • In the event of my inability to attend, I commit to informing the event coordinator and forfeiting my fees.

    • Credits & refunds are only applicable if the organizer cancels or postpones the event.

    • My attendance is only confirmed after I have paid the invoice, within 24h of receiving it. 
       

  2. Setup and Operation:

    • If accepted, I will ensure that I am operating legally according to all of the provincial and city regulations and requirements and abide by all regulations including Coastal Health. My food truck is fully set up and prepared for customers at the opening of the market.

    • The event coordinator is responsible for creating the floor plan, and special requests will be accommodated when possible.
       

  3. Marketing and Promotion:

    • I agree that active support in marketing and promotional efforts is vital for the market's success.

    • If accepted, I will promote the market on my social media platforms and extend invitations to friends, family, and followers.
       

  4. Market Hours:

    • I understand that market hours are pre-set, and my commitment involves attending and remaining for the entire duration. If I cannot commit to the entire time, I will inform the event coordinator who will decide on a case by case basis if my request can be accomodated. No early departure or late arrival is allowed unless authorized by the event organizer by writing. 
       

  5. Payment and Waitlist:

    • Failure to pay the market fee by the indicated deadline will result in the consideration of other applicants. A reminder will be sent out, and failure to meet the new deadline will result in permanent removal from all future events.

    • My spot is guaranteed only upon completing the payment within the specified timeframe.
       

  6. Media Usage Authorization:

    • I grant Backyard Marketplace Ltd (operating: The marketplace Kitsilano) the right to use my social media posts and any photos of my products or services for promotional purposes related to the event.
